Position Summary

The Manager to the Office of the President position exists to provide executive-level administrative support to the President and Executive Vice President. Their various duties include managing the President’s and Executive Vice President’s schedules, offering administrative support for the priority areas for the President and Executive Vice President, and relationship management. This position is integral to ensuring a smooth workflow in the President's office, while working collaboratively with other departments and offices. 

The Manager handles all the logistical details of the President and Executive Vice President’s activities by vetting internal and external requests, joining meetings as necessary, and handling internal and external correspondence. Part of this involves ensuring that the President and Executive Vice President’s have all the necessary information and support to properly prioritize their time.  This individual meets regularly with the President and Executive Vice President to strategize how to allocate the President and Executive Vice President’s time so that they are using minimal energy to maximize results. The Manager removes the guesswork of where, how and when so that the President and Executive Vice President can fully concentrate on the why. The role also serves as a bridge between the Office of the President and the rest of staff, sharing key concerns and elevating challenges that the Office needs to resolve. This position is remote.

Duties and Responsibilities

  • Manage complex scheduling for the President and Executive Vice President, ensuring that all necessary prep materials are received. 
  • Arrange and manage all travel requirements.
  • Coordination of communication and administrative support between the Office of the President and external stakeholders.
  • Leads and supports major initiatives to fill in critical gaps as assigned by the President. 
  • Audits system workflow effectiveness to identify any gaps and works with executive leadership to alter current processes or team goals. 
  • Identifies all necessary resources of special projects and establish / align bottom-line objectives. 
  • Serves as thought leader related to workflow management, operations planning, and milestone tracking for strategic priorities. 
  • Interfaces with executive leaders to define project priorities, implementation opportunities, challenges and communicate project risks and opportunities. 
  • Organizes Senior Leadership Team meetings, and SVP meetings in partnership with the Executive Leadership Team.
  • Manages office operations for the Office of the President, coordination with multiple departments simultaneously while crafting new systems and strategies for effective implementation. 
  • Completes expense reports on behalf of the President and Executive Vice President, including coding and reconciling receipts.
  • Manages email communication for the President and Executive Vice President, including flagging and elevating important messages and responding accordingly on the President and Executive Vice President’s behalf. In collaboration with development staff, corresponds with donors and funders as a representative of the Office of the President. 
  • Maintains positive and proactive relationships with external partners and with staff across the organization; offering critical communications support to ensure that information flows efficiently. 
  • Attend in-person meetings or events with the President and Executive Vice President for logistics support and track information and action items to ensure quick and timely follow up.

  • Ability to anticipate and solve potential issues while working collaboratively with others to devise effective solutions even in challenging situations
  • High level of responsiveness to requests and inquiries 
  • Ability to maintain confidentiality
  • Ability to serve as an ambassador/liaise on the President’s behalf 

Qualifications and Experience 

  • 5-7 years of experience with administration, logistics and operations supporting Executives within the nonprofit sector; specific experience working with media
  • Experience working with communities of color and understanding of applying a racial equity analysis to policies and processes  
  • Strong organizational and project management skills 
  • Ability to anticipate, improvise, and adapt for optimal resolutions 
  • Management and supervisory experience 
  • Ability to consistently manage workloads effectively, use resources efficiently and orchestrate multiple activities at once to accomplish a goal 

 

Physical Demands

  • Sedentary work that primarily involves sitting/standing
  • Light work that includes moving objects up to 20 pounds

 

Travel Requirements

Willingness and ability to travel up to 20% of the time.
